Running a meeting

Hi again. Now that I am the new PTO President. I'd like to ask where I can find the format or decorum on running a general PTO meeting? This is our second year as a new school, last school year was a diaster as far as the PTO meetings were concerned. I really want to make some huge changes. Does Robert's Rules carry the Parlementary procedures?

I have a simple format that I have used in the past. Usually open the meeting with a welcome. Then follow down the line. President discusses any issues that are pending or need voting on mention that a motion needs to be made. Most of the time this is discussed before hand for Exec board voting. The balance of office I just go around the table and let everyone have the opportunity to share. If they have a problem this is the time it's addressed. Like example:
Secretary needing help in copying, distibution.
The reason I used this format was because this way everyone has a right to voice their opinion.
And it's just not ran by the President. What ever issues they discuss I make notes under their office to help myself. Here that can report on any projects they are working on as well. Another thing is that I like to assign someone to give a thought before the meeting starts. Nothing big just a thought about children. It's get us going in a positive way.

Parents: Open forum for Parents 10 minutes (we really don’t stick to this) we never have parents come. The one time we did we let them know that they had 10 minutes if not your meeting will never end. Most of the time they have been pretty good about.

President: Discuss any issues that need to be taken of...

Reporter
Historian “Open Forum”

This is how are meetings typically go:

1. Call to Order/Presidents Remarks
2. Principal's Remarks
3. Secrataries Report (Minutes from previous meeting, vote to approve.
4. Treasurer's Report (Vote to approve)
5. Old Business
6. New Business
7. Call for items to be added to next months agenda.
8. Motion to adjourn
