I think it is a good idea to have as few sets of keys out in circulation as possible. That way, there is less chance keys will be lost. Wondering, are you talking about keys to the school's main office, or are these keys to something else?

Oh, that's different. It seems that one of the PTO board members (most likely the president) should be able to keep a copy of that key. There may be times when your group is holding events at the school during off hours and the front office may be locked. How would you get access to the key to the PTO office? See if you can talk this through with the principal, explaining the reason why one officer should keep a copy of this key.

3 of a last year member have a key to the PTO office. But this year there is 2 new members including me. So we figure we all can have an PTO office key. We not talking about the main office key.

I think that since this is school property, you need to work that out with your principal. In all the schools I've been involved with that have secured space within the school, the PTA/PTO staff have never had their own copy of the key. We've never in the school when there is not a custodian on duty, so if we need to get in to the closet, either we have had the custodian called so he can unlock it for us, or we pick up a key in the office and drop it off when we are done (depends on the school). It's never been a problem.
