I see where you are coming from-- you want to make sure that everything that is collected goes to events for the kids and not into someones home or for them to use personally.... that can be hard. You don't want anyone to feel like you don't trust them.

I have a process in place where I make a list of all companies contacted and as items are collected--- it would get checked off--- if someone asks where I've gone I can show them if they would like to double check me. I also have items sent to the school as much as possible...

Make sure he uses an approved (by you) fundraising letter, that clearly states that the donation must be delivered to your organization. Have the donor fill out a donation form, and have them keep a receipt. That way he couldn't use them for personal use, even if he tried.

I have learned from past experience, to trust my gut feeling on this. If you have any reason to suspect that he might have ulterior motives, you're probably right. Very few newbies ask to chair anything. That position is reserved for experienced volunteers.

Hi Looking for Help,

One thing that may work is to put a process in place for how donations are solicited. Use a standard form letter to contact all businesses, for example.

I have everything sent directly to the school with the attention PTO. Then there is no question about personal use.

Thanks for trying to help me! What I meant by donations is soliciting businesses for items (anything from gift certificates, to physical items that relate to their business to cash) that can be used for raffles or reward prizes for students. Hope that helps. Thanks again!
