Getting Donations for Raffle/Silent Auction

Tammi every year our school has a raffle with our spring carnival in April. In Feburary of each year we form a Raffle committee. This committee is responsible to go to the yellow pages and call all of our local businesses to ask them for donations for the raffle. We also send letters after letter home with the students asking parents to donate to the raffle. Don;t be picky about who you call this last year we even called lawyers, accountants, gas stations, doctors, etc.. Those who was not able to give an item for the raffle gave us cash donations to buy things for the raffle. We ended up with 115 items for the adult raffle and approximately 30 items for the students raffle. We also found out that alot of businesses do their budgets in Sept. for the next year. So, we have the names and addresses of all the ones who donated last year and we are going to send them yet another Thank you,tell them what we did with the money we recieved from the raffle and ask that they remember we will be asking for donations again in the spring. Whatever you do do not forget to send Thank you notes to all that donate. They will remember this the next time you come asking. :D

I cannot wait to get my forms!!!! I want to make sure everything is documented, that way someone can't say something else was done later. We had a lot of problems with our PTO last year, and I pessimistically expect the same this year. If these forms make my job as Fundraiser Chair easier, then by all means, SEND AWAY!! LOL :D :eek: :rolleyes:

For those who have done auctions, how did you go about putting your catalog together? Do you use computer software or just type it up? I think it would be a good idea to have it on a computer, but what software is good for this? I am especially interested in the idea of saving donor names and addresses for sending out donation letters next year.

On carnivals/silent auctions, we had each classroom design their own basket. The class mom was in charge of this. One class did books, another did candles, another family games, etc. And then the parent room coordinator made sure that the theme baskets were not duplicated. Parents were asked to donate items for the baskets, such as books, a game, the baskets, etc.

It worked pretty well for us.
