Getting Donations for Raffle/Silent Auction

During the week of Teacher Appreciation we're going to be raffling off different things for the teachers. I've sent letters to local companies asking for donations, but I like the idea about sending a letter home to the parents asking for donations too.

We have a huge raffle each year with our Carnival - we bought a large raffle drum last year and sell the tickets in 5 packs ($5.00 the night of the carnival and $4.00 per pack if per-purchased) We do send home a volunteer sign up sheet specifically for the carnival - we ask for parents interested in serving food, doing projects at home(posters, etc), running midway games & DONATING RAFFLE ITEMS) We usually have about 150+ of the forms returned and have had parents donate some wonderful things (craft items for gift baskets, colorbowls from a greenhouse, potted bulbs we use for Bingo prizes, massages, etc, etc) Parents that can give love to!! It is usually items that are a minimal cost to them and it helps them feel that they are really supporting the school - we recognize the donations in the newsletter and in our email group. They also receive a tax-deductible receipt. Another money saver is asking parents to send in bags of mini candy for consolation prizes at each game - we rarely have to buy anymore candy after the donations and we have 40+ midway games!! We of course still solicit the business commnity (approx 200+ businesses) and we use a form letter merged with a database so that each letter is personally addressed - I think this has made a huge difference for us...we receive some great raffle items. We then have a parent volunteer (or a few) do follow-up calling after the letters have been sent out...this is where you really do well...I have all of the following forms in my computer for anyone interested...
1. Carnival Volunteer Sign Up Sheet
2. Donation Request Form Letter
3. Thank you Tax Receipt Letter
4. Raffle Ticket Design

I absolutely would recommend this.. I would also include suggestions of donations for parents. There is a lot people can do that they might not think of (ie purchasing house cleaning to donate or a spa treatment etc..) I sent a letter home with an attached donation form for parents to fill out. I figure it couldn't hurt if they could give they would if they couldn't they could throw out the form. Most of my top dollar items came via this method (ie. a Miele Vacuum from a parent who worked for Miele).. What does it hurt to ask??

I was wondering if anyone send a letter home with students asking parents for help in getting donations for raffle/silent auction. Like maybe a parent with a home business or that might work somewhere that would give a donation, but either the Donation Chair didn't know about or tried and had no luck.
This is something we would like to do and was wondering if anyone has approached this problem before and it went over well? Any ideas would be helpful. [img]smile.gif[/img]
