Treasurer's Report template

11 years 9 months ago #161160 by bowman0523
I am taking over this year. The girl that did it last year did not fill out forms. She just attach the receipt to a piece of paper. Wrote a date and that's pretty much it. I want to follow by the book.

If you are still following these posts can you please email me the forms if you still have them! Thanks so much!!!

I just wanted to add that to this that our PTA just went through an embezzlement of $9,400. I would say that however much money the PTA has, how it is spent, how the records are kept are every officer's "job"! The PTA financial records should be an open book to the rest of the PTA. We have a meeting every month to discuss the bank statement. Every officer signs and dats it after reviewing it. Any check that is written must be signed by two people. The bank does not require it, but the PTA does. A form is filled out for every check that is written and every deposit that is made. This form explains the transaction and is signed and dated by at least two people. The receipt or deposit receipt is attached to the form. The receipt is also signed by the person who made the transaction. I also advise everyone who makes a transaction to keep a copy of the receipt in case it comes up missing. You don't want to have to reimburse the PTA if the treasurer looses your receipt.

These books/forms should remain at the school at all times!

Also your bank statements should be signed and dated by someone who is not a signor on the account. All of our officers sign them, but only two are on the account along with the Principal of the school. This is a requirement of the bonding company against fraud and embezzlement.

If you need copies of my forms (there are three) let me know. I would be happy to share.

This question was already answered recently in the File Exchange section of the message boards. There is a good template posted in the file exchange, which was set up to avoid these "please email me this and that" postings--and the chances of having someone email you something from a 5 year old thread aren't that good anyway.
