The Ultimate PTO/PTA Treasurer End-of-School-Year Checklist
Before you officially close the books on the school year, there are a few important financial tasks that can save your PTO/PTA a lot of stress later. This simple end-of-year checklist will help you stay organized, wrap things up smoothly, and make the transition easier for next year’s board.
The end of the school year always feels a little chaotic—field days, concerts, teacher gifts, “last chance” reimbursements, and approximately 400 emails flying around at once. If you’re the PTO/PTA treasurer, this is also the time to tie up financial loose ends, organize important records, and prep for summer deadlines and leadership transitions. The good news? You don’t need to tackle everything perfectly. A few simple end-of-year tasks can help your group stay organized, reduce stress, and make life much easier for next year’s board.
Banking & Finance To Dos
□ Track Down Any Outstanding Money Issues
Now’s the time to clean up anything lingering before summer break.
Take a quick look through:
- Uncashed checks
- Outstanding reimbursements
- Unpaid invoices
- Missing receipts
- Random Venmo screenshots living in text threads
Send a friendly “last call” reminder for reimbursement requests before everyone disappears into vacation mode.
□ Reconcile Your Final Bank Statement
Most PTO/PTAs wrap up their financial year on June 30, which means it’s a good idea to review and reconcile your final bank statement around July 1.
Translation: make sure your records match what’s actually in the bank account.

If your bank statements normally go to the school office, remember: the school office is about to become a ghost town for the summer.
Update mailing addresses or account notifications so important financial info actually reaches someone. Bonus points if financial alerts also go to another board member for extra accountability.
Get Organized Before Summer Brain Kicks In

Before summer officially starts:
- Save digital copies of important documents
- Organize receipts and reports
- Toss outdated paperwork you no longer need
- Make sure next year’s leaders can actually find things
No one wants to inherit “the giant mystery binder.”
□ Prepare Your Final Treasurer Report
This doesn’t need to be fancy or filled with accounting jargon.
Your year-end report should simply show:
- Money that came in
- Money that went out
- How things compared to the budget
- What funds are left
Think of it as the PTO/PTA version of a season recap.
□ Start a Draft Budget for Next Year
Even if next year’s board changes things, creating a rough starting budget is incredibly helpful.
Use this year’s:
- Fundraisers
- Events
- Teacher support
- Programs
- Expenses
…as a guide for next year.
You do not need to predict the future perfectly. You’re just giving the next team a head start.
□ Schedule Your Financial Review Early
Many PTO/PTAs do a year-end audit or financial review.
This sounds much scarier than it actually is.
Basically, another person (or small committee) reviews your financial records to make sure everything looks accurate and organized.
Scheduling this before everyone vanishes for summer camps and beach trips makes life much easier.

Before the review happens, pull together:
- Treasurer reports
- Bank statements
- Receipts
- Budgets
- Meeting minutes
- Financial policies

Taxes & Important Deadlines
□ Check Your Incorporation Renewal Deadline
Depending on your state, your PTO/PTA may need to renew its nonprofit incorporation annually.
Put the deadline on your calendar now so it doesn’t become an August surprise.
□ File Your IRS Form
Yes—even PTO/PTAs usually have to file annual IRS paperwork.
Most groups file:
- Form 990-N
- Or Form 990-EZ
