How PTO & PTA Groups Can Use AI Responsibly
Before you ask AI to turn your teachers’ photos into 1980's glamour shots, or your new PTO board into superhero caricatures, it’s important to understand the risks AI can pose. Here’s what PTO and PTA groups need to know about using AI responsibly.
AI is popping up everywhere lately—from fun "here's what our teachers would look like in the 1980's" to PTO board member caricatures.
For PTO and PTA groups, AI can be a genuinely helpful tool. It can spark creative ideas and take some of the stress out of things like writing newsletters, fundraising flyers, and Teacher Appreciation Week brainstorming.
But before you hand over your PTO's reins to the bots, remember AI is helpful, but it’s not perfect. Think of it like a super-fast, eager volunteer who’s great at drafting ideas…but needs a little supervision before anything goes out the door.
And remember, AI should never replace community voice (what your school "sounds" like), or common sense. Used wisely, it can be a great tool in your PTO's box of tricks. Just keep the humans firmly in charge. And soon, we just may see a new PTO board role popping up...VP of AI. 🤔
How AI Can Actually Help Your PTO
Used the right way, AI can make your life as a school volunteer easier. It can help with:
- Writing newsletter drafts and reminder emails
- Coming up with fundraiser names
- Creating event ideas and spirit week themes
- Generating a list of local businesses for PTO sponsorships
- Fun, on trend social media post captions
- Summarizing responses from a survey (personal data removed first, of course)
It’s especially helpful when you’re stuck staring at a blank page at 11:47 p.m. (IYKYK.)
But here's the part people skip: the risks. AI is fast, but not always right, and not always appropriate for school communities if it's used carelessly.
Here are the big things PTO and PTA groups should watch for when using AI:
1. Privacy (this is a big one)
Never paste in anything that includes:
- Student names or personal data
- Parent names or personal data
- Staff names or personal data
- Personal stories about students or staff
- Behavior or academic details
- Staff issues or private situations
Even if it feels harmless, it’s not worth the risk. Simple rule: If you wouldn’t put it on a public bulletin board, don’t put it into AI.
2. AI is a great writer, not a fact checker
AI can confidently say things that are completely made up or outdated. That matters when you’re dealing with:
- School policies
- Fundraising rules
- Safety messages
- Financial info
- AI apps that record PTO meeting notes (sometimes they end up documenting things that didn’t actually happen)
Always give anything it writes a quick human review before sending.
3. Tone can get weird...fast
Sometimes AI goes a little corporate or just sounds a little off. You might see:
- Overly formal language in a parent newsletter
- Weirdly dramatic phrasing for simple announcements
- Lots of em dashes
- Messages that don’t sound like your PTO or school at all
If it doesn’t sound like something your PTO would actually say, tweak it. Your families should feel like your PTO actually wrote it, not a bot.
4. Image and video projects need extra caution
This is where things like AI-generated graphics or “retro teacher portraits” come in (like those 1980's teacher glamour shots). While these can be fun (and very on-theme for your PTO), you want to:
- Always get permission before using/uploading staff photos and names
- Avoid exaggerating or turning people into “cartoons” without consent
- Don’t share anything that could embarrass someone, even if it’s meant to be funny
- Keep it celebratory, not satirical
- Avoid logos, trademarks, and branded products
- Check for typos or misspellings, gibberish or pseudo-words in image (AI images frequently produce incorrect or nonsensical text)
- Do a legal/common-sense review (copyright risk, likeness issues)
If you’re ever unsure, ask: Would I be comfortable seeing this posted about me, or my child? When in doubt, don't do it.
Safe Ways for your PTO to Use AI Without Stressing Anyone Out
Here’s the easy rule of thumb:
👍 Good uses of AI:
- Drafting first versions of emails, flyers or letters
- Coming up with survey questions
- Brainstorming ideas and themes
- Coming up with captions for social media posts
- Creating a list of local businesses to solicit sponsorships
👎 Not-so-good uses of AI:
- Anything involving student or staff personal info or photos
- Final versions without human review
- Official policy or compliance messaging
- Sensitive situations or discipline topics
- Reviewing financial info
The PTO x AI “Common Sense” Test
Before you use anything AI wrote, ask:
- Does this actually sound like something our school community would say?
- Did we accidentally include anything private?
- Would we feel good sending this to all families?
- Did we get formal permission to use photos/videos of staff, students, or others?
- Did a real human check it?
If anything feels even slightly “off,” tweak it before sending. AI can be a great helper for PTO and PTA groups, especially when everyone is busy.
