TO: (Business Name)

FROM: Victoriano Elementary PTO,

RE: Request for Tax Deductible Donations to Help Support Our PTO,
TAX ID# _______________________________

Dear (Business Name):

As a community partner, we know you are working hard to provide the best environment for the families and children of this city. Our Parent-Teacher Organization at Victoriano Elementary appreciates your commitment, and we want you to know we’re working hard along with you. We’re asking local businesses and retailers to help us in our commitment to serve by donating gift cards, coupons, and merchandise as an incentive for individuals to join our PTO and impact our community. We will give all donations to families who join the PTO as a “Thank You” for their membership.

Our school serves a population of approximately 500 children in grades K-5 in Moreno Valley Ranch, Rancho Belago, and the community near the intersection of Laselle and Iris. The PTO sponsors family nights, community outreach programs, sports teams, and academic award ceremonies which serve our students and our community at large.

Please help us in our dedication to serve by providing a tax-deductible donation. Your help and commitment is greatly appreciated!

Yours very truly,

How did you contact the business phone call or letters? Do you have a sample letter? How did the event go? Would you do it again? Do anything differently?

This website has some great information about having a school carnival and about working with community businesses using a merchant plan.

Here's a page about getting donations .

Good Luck!

Every year we hold a carnival at our school. But instead of raffling of the prizes. The students sell tickets for $1.00 donation and the buyer's name goes in a drawing for door prizes. Last year we gave away several $50 gift certificates, a computer cabinet, weed eater, bug zapper, etc. We also use similuar prizes for bingo. We solicit to area merchants. We hand out a form that has the school's tax id number. Merchants seem willing to give lots when they find out they can write the donation off.
