getting ready for next year

We are sending out a 5 X 8 Information Card in the Back to School Folder with information about the PTA Membership Drive and the PTA Executive Committee Names and numbers. September 4-28th will be our Membership Drive. We are looking at "Blasting Off Toward a New Year" Membership Drive. We will hang a large Membership Mural on the cafeteria wall. The mural will consist of Rockets with teachers names on them. Stars with students names on them whose guardians have joined our PTA. The teacher rockets who reach 100% by September 28th will receive Rocket Popsicles for the whole class. (We are going to go by class percentages because of different class sizes) We will send out a
Membership Form and if guardians look at the form and do not want to join the PTA, the student returns it marked no, thank you note with a signature then we will send a note with a "starburst" thanking them for considering joining the PTA. If guardians join, they will receive a thank you note with a "starburst" and their membership card.

We send home a Survival Guide the first Friday of school that has a copy of our last newsletter, ideas for making the school year easier, a letter from PTO pres. stating importance of parent involvement, a paper stating all the positions open and a description of the time and talent need to take on a task. Then we invite all parents to a volunteer coffee (we hold one in the morning where children are welcome and one at night for parents that work) At the coffee we welcome all parents and have sign up sheets that explain in detail each need and a place for them to sign up. Our library and computer room are run by volunteers so we need help. We also use parents to help out in every class room, for fundraisers, for bakesales and for field trips.

We follow the coffee by calling everyone who signed up and sending home folders detailing the committment they made and how they should follow through.

We send out a questionnaire the first week or so of school listing all areas that we host and asking for help. Then we compile all of this info into a spread sheet and distribute them to the chair of each event. Next year we are going to add a section for work that can be done at home (like the newsletter) for those parents who can only donate a small amount of time, but wnt to contribute.

As this is my job next year I would be happy to e-mail copies of our forms to anyone who wants them. (I don't have them yet so be patient!)

With our membership drive, we have a list of the different events, committees, etc that the PTO holds during the year and ask them to check off ones they would like to help with, chair etc. Then you can compile lists for the chairpeople so they can have a headstart with volunteers when their event comes. It has always helped us in the past. And yes, the key is to keep it short!

Our school sends out simple forms asking the tpes of questions that you mentioned. I think that it is a great idea. Just keep it short and simple. It will help you to know whom to call when. I think that it shows a desire to work effectively and shows some professionalism.
