Would anyone be willing to share the themes they use for their basket auction. We are struggling to get some fresh new ideas.

Gift Basket Guidelines letter provided to homeroom parents:

Dear Home Room Parent:

Each classroom will be creating a gift basket that will be included in the silent auctions held at the Gala (April 28, 2007) or Golf Tournament (fall 2007) to raise funds for covered shading for all of the outdoor play spaces for our children. The shading will protect our children from the harmful effects of prolonged sun exposure. The PTO has committed to raise the cost of the shading which is approximately $100,000.

Your Class Room Theme is: _______________________________________

The following are some guidelines/general information for the classroom baskets that you need to follow:

1. You may choose to use the sample parent letter included and fill it in as it pertains to your class. Make copies of the sample letter and send one home with each student in the Tuesday Folder by March 2nd. Please feel free to make up your own letter if you wish or contact parents by phone/email. It is against school policy to ask for cash.

2. Each class needs to ask for an easily transportable container as one of your items, such as a wagon, basket, cooler, bucket, mixing bowl, etc. This will be used to display your donated items. Don't forget wrappings (netting, shrink wrap, clear cellophane, bows, ribbon, etc.). While colored cellophane may be attractive, it is very difficult to see through. Therefore, we suggest you use only clear cellophane. You can ask for that to be donated also.

3. Each homeroom parent needs to keep an itemized list of all donated items. Please request only NEW items and ask for an approximate value on every item. If you have large-ticket items, you may want to have two or more parents pool their resources for the more expensive items.

4. Remember: Do not solicit items from area businesses for your basket. The Silent Auction committee will be soliciting area businesses for other donations and we do not want to over-burden these businesses or jeopardize future contributions by asking for too much! All items are to be donated by individuals in your class.

5. After you have collected all of the items you (and your helpers) will need to put the basket together to be displayed. Be creative!

Here is the sample homeroom parent letter we used last year- this is the letter homeroom parents sent to all of the parents in their class:

Dear Parents-

Each class is in charge of gathering specific items in order to create a wonderful basket for the auction. Each student is asked to send in an item pertaining to the basket theme.

Our class is creating a _______________________________________________ themed basket.

The following are some examples of items you could donate for our basket:

• Please include the receipt and the child's name. The receipt is important so that I can exchange an item in case I get duplicates and so that I know the value of the item for the total price of the basket. If you put your child's name on the receipt I can return it to you for tax purposes if you wish. All items must be new.

• The Silent Auction Committee will gladly accept any donation you, your company, friends, family members, etc. wish to make. The more donations we receive, the more money we'll raise the sooner we will reach our goal of covering all of the outdoor play areas!

• The Silent Auction Committee requests that all donations are returned to the teacher by Friday, March 23rd. This will give the class time to put together the class basket and return it to the teacher by the Friday, March 30th deadline.

If your time is limited and shopping is a problem, please feel free to call me to discuss an alternate suggestion. Also, if you have any suggestions for our basket, please contact me.

if you are going to try and get company/places donations, start now, it can take awhile sometimes for them to send stuff. good luck with your auction! maggie
