Holding money for other school groups

I have a problem with this as it just seems to be added work, yes you could set up a seperate account and all that. The other part is how it effects your gross income and filing a 990 if you reach that 25,000.00 mark...we try to stay away from it!

grits ~ How is it that your PTA became the financial manager for music and the media center? Things like this often happen long before our terms and we get the "it's always been that way" answer.

Now that you've been informed by the state PTA that it's wrong to do so, you're on the right track. Find accurate legal reasons for changing the practice and then find the best alternative.

Perhaps your school's accountant can manage these funds?

You've basically hit on it, grits. It's not a best practice.

Does it happen? Yes. Are you likely to be in deep hot water? No (especially if the dollars you hold for others are raised well and used well). Are you "laundering money" (making money collected with illegal activity appear clean)? Not even close. Give me a break.

It's really up to your group if you want to do that or not. You're every bit within your rights (and I'd recommend) not doing it. It's just cleaner.

If the other groups want to operate real informally, that's fine. But they should just get an EIN from feds, open their own account and then -- if they want to be "below the radar" (as they seem to) -- they wouldn't be the first group like that not to file any reports.

It is true that your PTO's (or PTA's) filing requirements are based on gross dollars in, so the extra moeny on your books could result in you guys having more filing responsibilities.

whoa--maybe she's come here so no one would make her feel like she's a part of the mafia....there's smarter folks than me that can help but really...going to that extreme is pretty dramatic ...
