posted this on another area - thought it might be good here. in reply to: a volunteer form....many parents tell me they would love to be involved but are unable to because of their job. Is this form something that would have phone # / e-mail address and what they would be able to do?
When I was a president I had a small group of parents that had me bring projects home from the volunteer room and drop them off at their house. These projects involved - cutting, pasting, coloring, stapling etc. The working parents then felt involved at the school and were more than happy to return the completed package.
What a fabulous idea Coni. Thank you very much. Our school just reappointed new committee leaders and the parents decided to create a new PTO since new leaders would just end up the same as before with out a little direction and help. I was elected President and will be meeting with the committee leaders tonight. While I was at the store last night I remembered what you said about a start up notebook. I am putting them together tonight. Thank You Thank You.
Hi, I put together notebooks for all of my PTO Board and Chairpeople this year. In it I included a personnal letter from me stating my goals for the year, my appreciation for their involvement and a poem on working together. I added a page that listed all Board and Chairpeople with contact information for each one. I put in a page with all scheduled Board Meetings and General Meetings for the year. (As busy as we all are I like to plan ahead!) There is a page listing the school staff. I also included a treasurer's page outlining our policies and procedures for getting refunded for money spent, making deposits and where to put the deposits, day of the week that our treasurer would pick up such items (she will come on other days with some notice), etc. I included a few deposit and check request forms. Our reimbursment forms are fairly simple, but details are a must! The name of the person the check is to be written to is required with address if check is to be mailed. We require a detailed explanation about what the money was spent on and where the money is to be deducted from in the budget. Attached receipts are a must. There is a tax exempt form with our number on it and a letter authorizing these people to solicit donations from local merchants signed by myself and the school principal. These notebooks have gone over very well this year. It seems to have been a big help for all of us. I hope this helps you as well! Good luck!

Our reimbursement form is about as simple as it gets without being a blank page. Initially, I thought it might be TOO simple, but it's actually worked out really well. I'll email you a copy.
Our current PTA board would like to put together a packet to hand out to all the committee chairmen. We thought of including a thank you note, a form for reimbursement,a volunteer poem and the survival kit(as seen in this forum),and a detail and helpful hints sheets. We are having trouble coming up with a detailed expense form that is simple enough so they will use it. Does anyone else do this? Are we wasting our
time?
