Yikes I've never served on PTO now I'm President!!

Welcome Momaboo!! I would love to be of some help too! Does your school have a website? Putting your PTO info on a webpage is sooo nice and convenient for parents. I think a newsleter is a great idea. If you do it on a regular basis, the parents begin to actually look forward to what will be included in the newsletters.

You are at the best place for all the help in the PTO WORLD!!

momaboo - don't be intimidated. We've all been where you are (brand new) and have learned things along the way, just like you will too. And you have friends here to help you so you have nothing to worry about. Let me try to explain a few things a little better:

Bylaws are the list of rules that your group follows regarding membership requirements, accounting practices, roles of each officer, voting procedures, quorum - which means the number or percent of voting members who need to be present at your meetings for voting to take place. For example, my last group required "a majority" which meant 50% + 1. So, if we had 20 voting members, we needed at least 11 to be at any meeting for us to vote on things. Robert's Rules of Order is a very large and intimidating book that is a commonly referenced Parliamentary Authority. It basically outlines how meetings are run. 501c3 - If your group is an independent 501c3 it means you are an independent group. You have your own rules, Federal tax ID #, and so on. If you are a branch of the school and use their tax ID # then you are a service branch of the school and would fall under the rules of the administration and school board. You could still draft your own bylaws but the school would have final say in your activities.

Policies and Procedures are just a list of rules that you expect all of the volunteer members of your group to follow but would fall outside of the very formal bylaws. Like: Sign In/Sign Out rules at the school, Younger kids at events (like room parties), which copiers to use, where your mail is kept, how to distribute items to teachers, parents, students or school wide, rules about what can or can't be on your bulletin board, website or newsletter.

PTO Today Magazine is a great tool and I believe each group is eligible for one free subscription. Look to the left of the page. The Butterfly Net Lady with the article "25 Ways to Catch and Keep Volunteers".

I think it's fantastic that you have two staff members on the board because they know the inner workings of the school. However, I'm a firm believer that the key officers of a parent group should be parents. If the staff members also happen to have students in attendence then terrific.

Oh yeah, and dlf might be mad at me for name dropping (I got in trouble for this a lot with my old group) but she's just so creative. She's a regular poster here but is on vacation right now. Search for posts by her and you'll see what I mean!!! LUV is amazing too and her suggestion for a mission statement is great.

Hi momaboo -

RE: Plus Membership. It's typically something purchased by groups, not individuals -- it's a great resopurce for getting you and fellow leaders all the help you need for great success.

RE: free magazine. Every (accredited, etc.) K-8 in the country gets one copy of the magazine addressed to the parent group president and mailed to the school. Perhaps check in with your school secretary and make sure those magazines get forwarded to your group leaders. (Most groups have amail box at school for the lts of mail that comes in). If yours is a new school feel free to check in with our customer service office to make sure your school is in the database.

A lot of folks do get their own copy sent to their home address by subscribing here: forms.ptotoday.com/store/product.html?id=1021

Wow! This is a reply to everyone who is helping me you all are a wealth of PTO knowlege!

To Crewchief: I don't have a clue about all the things you asked it's like you were speaking in another language...guess I should talk to the principal. Yes we do have the board positions filled I know that much. There is 2 school(not our school) employees on the board so I feel a little intimidated already. I feel like one of them should be Prez not me I mean they are more familiar with how things run.

I think I got the mission statement under control now..Thanks to you guys!

I'll be checkin in with you all for sure probably every step of the way.

Mission statements really aren't that hard. First you need to sit down and establish the purpose and goals of your group. After you do that, the mission statement should come pretty easily. For example:

Say you have two main goals:(1)to create educational activities/programs and fundraise to buy supplies and materials that will give your children a better learning environment and opportunities to learn beyond basic curriculum, and (2)to get more volunteers in the classroom and more parents involved in school activities, you could say the following:

The mission of XYZ PTO is to support and promote programs that improve the educational opportunities for our students and increase parental involvement in our school.

It doesn't have to be detailed or long-winded. It's a basic statement of why your group exist.
