Who takes the MONEY?

Our book fair doesnt run that long. But for other events where it would be similar like our Santa Shop. We take out all the money and only enough for cash box to start the next day say $100.00 or whatever you would need. Everything would be put into the safe we have or in the school office.
I agree with the othe fellow PTO'ers you can neve be too safe.
I have an accounting degree and the my girls know I am a stickler when it comes to this stuff.

We either deposit it every day or have it locked in the school safe at the end of the day. Nobody but the treasurer takes money home. The deposits are handled by the officers because the chairperson didn't want to be responsible for the money.

We keep our money locked up everyday in our school safe, and it is deposited into the bank at the end of the Book Fair. It doesn't make sense to deposit the money on a daily basis. I understand your fears when it comes to money. You can never be too careful!

We are a PTA, but there is always one of us from the Exec. Board running the cash register at every event. We never allow a volunteer to run the cash register. The Exec. board are the one's who are insured, etc. At the end of each night of our book fair the money is locked up, the next day the only money brought out is the start-up funds and at the end the Treasurer and one other member counts up the money and deposits it.

You are ABSOLUTELY NOT out of line. By making a " general" new policy to protect your group was an excellent way of handling this situation, and in general, protecting the group.

Remind these ladies that this new policy protects THEM, too. Suggest to them a few scenarios, like what if they stopped at the store on the way home, and the money was stolen out of their car? Could each one afford to replace that much cash? Would they? Tell them that once they leave school property with that money, it becomes THEIR responsibility, and frankly, your PTO doesn't want that burden on ANYONE... so YOU are doing them a favor ......

You are absolutely right! Why would money be left with volunteers overnight? Tell them it is a new policy that was put into place at the beginning of this year. They can count it at the end of each evening and keep a running total. There is no difference and the money is safe. I would tell them that I appreciate their concern (?) and thank them for their help and tell them that this is how all fundraisers are being handled from now on.

We are facing a money problem this year that I hope to put an end to. A chair for one of our events has promissed the fund from our upcoming event to a group at school without discussing it with myself or the principal. I guess she assumed that since she is the chair of the event, she can do as she pleases. This now leaves our account dangerously low with two more events for this year. This teacher receiving the money and the parents of the group it is funding all seem very excited.
