rjmat--I'll take a stab at your question. If your parent group awards a prize to someone who wins the hole in one contest, and the parent group pays the prize directly, then, given the large $ amount you're talking about, you must file a form 1099 to report the person's winnings to the IRS. There are several types of 1099 forms; although I think I know the right one, I haven't had direct experience with this so you should call the IRS for guidance as to which form to use.

I don't know how hole in one insurance works. If you buy the insurance, and the insurance company pays out the prize to the person, then it's possible that the insurance company also then has responsibility for issuing the 1099.

At any rate, someone has to issue a 1099 for cash winnings like that. Just because your group is tax-exempt, that doesn't mean you wouldn't have to do it. If this deal is advantageous to your group, but you're worried about having to file the 1099, it's really not that hard. I'm not sure you would want to pass up the opportunity just because of that.

onaroll . . . thank you so much for such a quick response! I do think this would be a great fundraiser for us! Your note has inspired me to bring this up at our next meeting and begin planning our first outing! I will be sure to keep you posted on our efforts :) Thanks again for your help!!

NotCrazy - first of all, I love your screen name! It's so true for so many of us.

When we first put together the golf tournament as a fundraiser for my mom's expenses we began by spending a couple of months "getting the word out". We started by running the idea by friends, family, those who had been co-workers of my dad, anyone we could. Just a little, "Hey. Guess what? We're looking at doing a golf tournament for fun. Everyone gets a day to relax and be together and help a cause at the same time. What do you think?" That sort of thing.

You could start by sending a memo out to teachers, parents. Get their feedback, input. I'm sure the golf team from the high school would be invaluable with ideas on what they've seen done for prizes and such at tournaments in your area as I'm sure they've played in some already.

From there, we just jumped in with both feet and rode the wave, so to speak. We were never going to know if it would work without trying. We got together invites, sponsor sheets (for those who don't golf they could sponsor a hole where they get a sign with their name on it). Started calling courses for the best deals on golf/carts/buffet/etc. They may even donate door prizes for you.

So, now that I've rambled on, your best place to start is to put out the feelers. Is there interest? Would it be a profit maker? Then go from there with invites, door prizes, etc. Just like any other fund raiser. Good Luck! If you live in an area where golf is big I think it has great potential!

I'm sorry, I can't answer your question, but I am interested in finding out how to even set up a PTO golf outing . . . we are located near four Golf clubs and we have great golf team at our high school. This would probably be a wonderful fundraiser for us . . . any tips on getting one together would be much appreciated! Thanks :)

rj - I've never heard of the example that you're talking about but I do have an example of mine that, maybe, can help you out. I've managed a golf tournament each year for the last 9 years as a benefit for my mother (who has advanced MS) that the many wonderful people that my father worked with attend (after he passed away 10 years ago) to help with her health care expenses. With that said the "organization" we've set up for the golf tournament is also non-profit, as many PTOs.

We also use Hole-in-One prizes, usually a car. Here's how it works for us and, from what I've understood, many high cost prizes/services attached to these hole-in-ones.

- We contact the dealership to choose what vehicle we'd like to offer as the prize (in your case you have the premiums as the prize).
- We then contact a group called Hole-in-One USA, (located in Vegas) who we use to purchase an insurance policy for that vehicle.
- In the end if someone wins that car (which hasn't happened in all our years yet) we are covered for our costs by having purchased that insurance.

I don't know if my example helps you out very much because, truthfully, I don't completely understand your example. Maybe you can clarify the portion I quoted? Are you giving an actual prize that you purchased the premium for? Are you giving cash? Let me know and I'll be glad with any info or tips that I can give you.;)

Hello,
I am new this message board. I have been nominated to handle the Treasurer's role. Has anyone had a golf outing event where say the Company decided to give a value of insurance premiums (say $5,000) to the PTO and then we give half ($5,000) to the winner of a Hole-in-One person. Question is what is the PTO's responsibility to this. I realize that the winner of the Hole-in-One has to pay their portion of the taxes. Since we are a non profit organization, I know that we are tax exempt.

I appreciate any feedback.
