Mary D - it sounds like you have enough help for a small school. Keep in mind the admission table will not be busy after the movie starts, so 1 those 2 could help out in other areas. Also I would imagine the snack counter will not bee too busy during the movie unless you can still see the movie while waiting in line. Don't forget clean up helpers.
I am new the new Welcoming Committee coordinator for our school of 140 students in PreK thru 8th grade. In addition to welcoming new families and students to our school, I am also to welcome returning families and coordinate all the events sponsored by the Parent Teacher Partnership. I have visited this site many times and used many of the ideas posted with great success. Family participation and volunteer involvment is at the highest this school and PTP has ever seen. First I want to thank you, because I couldn't have done it without you and your advice.
We are planning our first Family Movie Night. We are thinking of serving popcorn by the bag, goldfish by the cup, and juice, soda, water by the glass. We are looking into having the local McDonald's or Subway donate small cups with lids and admission will be a non-parishable item to be donated to the local food pantry. My question is how does one estimate number of volunteers will be needed for this event. I know I will need at least two volunteer(s) to help with the collection of the food pantry items, 2 for making popcorn, selling drinks, popcorn and goldfish items, one for running the movie, one for monitoring the restrooms, etc. but I have no idea if that will be enough. I don't want to have so many that they won't feel needed and feel it a waste of time to volunteer in the future.

we got approval from our school board before getting the license to be able to show movies in the summer so our kids have something to pass the time we live in a very small community we only have 250 students.
I would rather see other types of events than just movie nights. To me, Back to School Ice Cream parties, a Harvest Festival, December holiday event, a February party, field day, BINGO, "Are you Smarter Than A 5th Grader" night, Science fair, end of school event, etc.; are all events that increase family involvement, are fun, and at times can be used to raise funds.

Movies are covered under copyright laws. Movies that you buy from the store or rent from Blockbuster are for "home use only". This means that you can view the movie in your home. (Those who live within your household shown in your house.)
When you show a movie outside of your home, you are required to purchase a license, regardless of if you are charging admission or a free event. If you show a movie outside of your home without a license you are breaking the law and are subject to a fine and / or jail for breaking copyright laws.
With the internet, movie studios can monitor when their movies are being shown and can reference with swank and criterion for licensing. It is easy to get caught breaking the law.
