Event_Samples... a question

Here in TX the food police add in a whole new aspect to this program. Our cafeteria refrigerators (the only cold storage we'd have large enough) is inventoried often and they would be written up by the district if they had anything that didn't fit into the food policies. Even if the item is used in a legal time period (i.e. after school hours) it is not allowed in the food service area.

In our area all the food service functions are outsourced to a third party company with total dominion over the cafeteria facilities. The cafeterias (including the walk in refrigerators) have separate locks and almost no school staff has access, except for the principal. No outside groups (including PTO/PTA) are supposed to be able use those facilities.

Not that the rule doesn't get bent from time to time, but it would not be feasible policy-wise for our 28 campus locations.

I agree that the exact delivery date would be essential for the cold product, and -- frankly -- that's likely to be the biggest sticking point. These are typically not "exact" kinds of programs. Samples are large volume programs that need to work at bulk kind of rates and service. WE'll see what this particular company has in mind for fulfillment/shipping.

You can kind of see that with the Flat Earth program. Not surprised that those arrived in a fairly large window. A very large shipping house shipped roughly 1 million of those samples to opted-in schools all over the country. Because the shelf life is long and the boxes are fairly light, we were confident that -- as you guys did -- groups would find a way to receive a couple of days early or late and find a spot for the 3 or 4 boxes until your events.

RE: how do you find out about offers like these. Two things: 1) Groups that join PTO Today Plus get first dibs on programs like these ( www.ptotoday.com/plus) . 2) After Plus groups, we typically go out to our email database. We just got our free shipment this week of our chips and like the others we got it early, don't get me wrong we are grateful for it but a delivery date would be great, we don't have much room at either of our schools but we made. Something that would need to be kept cold would be a little hard to do and mabye if we did know the size of boxes how much we might be able to do.

Our groups have always had good space and relationship with staff and usually a PTA/PTO person at school everyday.

The only worry would be its persihable, would need to know ASAP for delivery date.

Hot/Cold/Storage usually hasnt been an issue.
