Yes, their websites usually will have guidelines if they have a page for donation requests, and how/where to submit it unless you are sending out blind requests. I try to do fax or email to save postage but some require you to mail a request with a self-addressed stamped envelope.

Most do have their forms online though.

I haven't had anyone turn us down because I wrote too early. I had one tell me try again later closer to the event. If anything, they will usually hold your request and reply closer to your event date.

Most places get a ton of requests. I would rather be ahead of the game rather than too late - most businesses cap their donations. By the time you send your request, they could have already been committed to other charities. I have gotten no's like that so I note on my spreadsheet to send my request earlier next year.

If you send your request like a month or two before, you are competing with a lot more other worthy charities than you would if it was 3 or 4 months earlier. I'm getting items trickling in right now from requests 2 months ago. Our event is 2 months away.

It takes them awhile to go through requests sometimes too.

Every company is different and has different requirements. Some have online forms to fill out, others require e-mail or snail mail or fax requests. If they don't say, I usually e-mail, because it doesn't cost me anything.

In regards to how far out, there are a few places, like cruise lines, that require 4-6 months out, but most places need 60-90 days, and if you apply too far in advance, they won't consider your request. I would spend some time researching the requirements of different companies and making a list - that is what I did. Disney, for example, needs between 60 days and 6 months notice. I have a column in my donation spreadsheet that I put the time requirements in. Good luck!

Hello, I'm encouraged and motivated to start soliciting -- thanks to this fantastic thread. A couple questions: I'm on our school's 2014 auction committee. How soon is too soon to solicit companies? We have an established local list that we use year-to-year, so I'm primarily referring to the national chains/companies, which we haven't really tried.

Also, in your experience, what is the preferred contact for the national chains/companies: mail, email, fax, or online submission?

Well...we made it to this point!!! Our Auction is tomorrow!! I would like to Thank this board for all the wonderful links, leads & lessons!!! I truly have learned so much!! We have collectively 325+ baskets which is the highest that I can ever remember seeing at our auction in the last 10 years. It has been a pleasure chatting with you all!! I'll post the results after tomorrow!! Looking forward to a well deserved rest after the auction!! lmao!! Thanks Again Everyone!!

I am not familiar with the differences between a 501c3 and a 501c4. But most large corporations require 501c3 status. You will probably have the best luck with local businesses in your community - restaurants, museums, etc., and places where you do business.

we just had our benefit on Sat... Our redbox came earlier that week and build a bear came 2 days before the benefit. they are last minute donors.
