Question: Teachers want ongoing funds for supplies

Our teachers would like the PTO to give them $375 for supplies ongoing. They in turn would submit receipts. Are there any suggestions for this? We see a number of challenges with this approach.

Here's one system that works well. Give teachers a budget amount. Have them collect receipts up to that amount. Then have them turn in the receipts and you cut a check for them when they do. You don't need to review the receipts to decide whether they fit -- let the teachers make their own choices. However, because this is a significant part of your budget, you do need to collect and save the receipts -- the IRS requires it. To make the process easier for teachers, give them preprinted envelopes to save, and then turn in, their receipts.
